Reusable shipping boxes for vending and machine service

Vending service

Between the central warehouse and the vending site something is always in transit: coffee, snacks and spare parts out, cash cassettes and faulty parts back.

With reusable shipping boxes from hey circle you turn this high-frequency maintenance cycle into a closed loop - without piles of cardboard, without single-use cardboard box and filling material on every round.

94 % less packaging waste
76 % less CO2
53 % lower packaging costs
50 cycles per packaging on average

Box L compared with a single-use cardboard box of the same size containing 80 % recycled material, calculated over 50 cycles. Data source: Ökopol life cycle assessment. The 53 % are an average from real customer calculations.

How the loop works

You send supplies and spare parts to the vending site in the hey circle box. The service technician restocks, swaps cassettes and hardware - and the box goes back to the central warehouse with cash cassettes, faulty parts or empty. A box lasts around 50 cycles on average.

If a box does come back empty, you collect them and send them back folded flat and bundled - which keeps parcel postage low.

  • Pack & close

    • Pack supplies and spare parts safely inside the box
    • Close the box with the zip or the lift-off lid, with no tape at all
    • Security seal for the return of cash cassettes
  • Ship

    • Hand the parcel over to your carrier as usual, either to the vending site or back to the central warehouse
    • Robust outer material suited to conveyor handling: runs through the normal sorting process at parcel hubs
    • Tested and approved by all parcel carriers, shipped without surcharge
  • Return

    • Cash cassettes and faulty hardware go back in the same box - the return flow is part of the maintenance process, not optional
    • Collect empty boxes folded flat and send them back in bulk, which keeps parcel postage low
    • Fold the box flat or refill it right away - no cardboard or filling material waste
  • Very high frequency

Many decentralised vending sites are supplied regularly, often weekly - the packaging volume adds up fast. It is at exactly this frequency that a reusable loop pays off most.

  • Return flow built in

Cash cassettes and faulty parts have to go back to the central warehouse anyway. A reusable system uses exactly that route instead of loading it with single-use cardboard boxes.

  • Robust & conveyor-ready

The boxes run through the normal sorting process at parcel hubs, without surcharge - a good fit for frequent small shipments between many sites.

  • Packaging costs

At this shipment volume the saving is real: cut packaging costs by 53 % on average.

  • Regulation

The PPWR has applied since 12 August 2026. From 2030 it sets reuse targets for certain transport packaging such as plastic crates and pallets; boxes made of cardboard or paperboard are exempt. For deliveries between sites of one company within the same member state, the PPWR requires reuse from 2030, again excluding cardboard boxes. Whether your shipping is affected depends on format and supply relationship - we are happy to check this with you.

Frequently asked questions

How do vending service technicians ship spare parts efficiently?

By sending refills and spare parts to the site in a reusable box and returning cassettes and faulty parts in the same box - one loop instead of a cardboard box per shipment, for up to 50 cycles.

How does the packaging come back?

Usually filled with cash cassettes or faulty parts on the next service round - or empty, folded flat, collected and returned in bundles. That keeps parcel postage low.

Are the boxes suitable for the sorting process at parcel hubs?

Yes - the outer material is robust and conveyor-ready, the boxes run through the normal sorting process and are approved by all parcel carriers with no surcharge.

What about hygiene when restocking food?

The surfaces are plastic, do not pick up dirt and are very easy to wipe clean inside and out.

Is reusable shipping worth it for small businesses?

What matters is shipping frequency, not company size: if you work with the same partners regularly, you benefit from the first loop onwards.
