Reusable shipping packaging for school IT loan devices

School IT loan devices

When a school tablet fails, a replacement has to reach the school quickly and the faulty device has to go in for repair. A constant back and forth across many school sites.

With the reusable shipping boxes from hey circle you organise this swap securely and traceably and save single-use packaging - instead of packing a new cardboard box for every exchange.

94 % less packaging waste
76 % less CO2
53 % lower packaging costs
50 cycles per packaging on average

Box L compared with a single-use cardboard box of the same size containing 80 % recycled material, calculated over 50 cycles. Data source: Ökopol life cycle assessment. The 53 % are an average from real customer calculations.

How the loop works

School IT device management is a swap model (old-for-new): the replacement device goes to the school, the faulty device comes back for repair. The hey circle box runs again and again - on average for 50 cycles.

If a lot of empties build up across the sites you look after, you can fold the boxes flat and collect them in bulk - the bundled return via the parcel carrier is cost-effective instead of single postage.

  • Pack & close

    • Place the replacement device in the hey circle box, protected against impact
    • Close the box with the zip or lid for tamper-evident protection - with no tape at all
    • Add a security seal for devices with sensitive data
  • Ship

    • Stick the shipping label onto the label holder
    • The replacement device goes to the school via your parcel carrier as usual
    • hey circle is carried by all major parcel carriers without a surcharge
  • Return

    • The faulty device comes back for repair in the same box
    • Peel off the old label without residue, stick on a new one and fill the box again straight away
    • Fold empty boxes flat to save space and collect them in bulk
  • Recurring swap

Device failures happen continuously and are spread across many schools - a predictable, recurring shipping flow, exactly the profile a reusable loop is built for.

  • Protection

Tablets and laptops are sensitive, especially with frequent transport. Dimensionally stable, padded boxes are tested with up to 400 kg stacking load and in a drop test from 80 cm - more reliable than the next cardboard box.

  • Traceability and data protection

School devices hold user data. Lockable, sealable boxes and clean tracking give you and the school authorities certainty during transport.

  • 3 x savings

According to the Ökopol life cycle assessment (2023), the hey circle Box L saves 94 % packaging waste and 76 % CO2 over 50 cycles compared with a single-use cardboard box of the same size containing 80 % recycled material. Packaging costs fall by 53 % on average, based on real customer calculations - across many exchanges a year that adds up noticeably.

  • Regulation and public tenders

A reusable loop fits the reuse and waste prevention goals of public digitalisation programmes. The PPWR has applied since 12 August 2026. From 2030 it sets reuse targets for certain transport packaging such as plastic crates and pallets; boxes made of cardboard or paperboard are exempt. Whether your shipping is affected depends on format and supply relationship - we are happy to check this with you. An argument that can count in tender processes.

Frequently asked questions

How does the packaging come back?

Directly via the swap - the faulty device comes back in the same box. Or in bundles: fold the boxes flat and have them collected in bundles by the parcel carrier at low cost.

How well are the tablets protected in transit?

Dimensionally stable, padded boxes are tested for up to 400 kg stacking load and a drop from 80 cm, and they can be locked - considerably more protection than a single-use cardboard box.

Does reusable packaging fit public procurement processes?

Resource efficiency and PPWR can be included as award criteria, and the GRAI connection delivers documentable cycle and savings figures for the tender.

How are loan device fleets at schools swapped securely?

Through a swap model using impact-protected reusable boxes: the replacement device goes out, the faulty device comes back in the same box - trackable and cardboard-free.

Does this work with our parcel carrier?

hey circle packaging has been tested and approved by all parcel carriers and runs through the normal sorting process with no surcharge.
